A Hiring Manager’s Day Before and After Using AI Agents
Hiring managers don’t set out to become part-time recruiters. But once a requisition opens, they’re often asked to clarify the role, review candidates, and give feedback while keeping up with their regular work. When those steps happen across disconnected tools and conversations, even a quick decision can be hard to act on.
Phenom and ServiceNow partnered to bring AI agents for intake, sourcing and voice screening into the ServiceNow workflows hiring managers already use. What does that change in practice? Follow one hiring manager through three points in the process — first with the familiar handoffs, then with Phenom’s agents working inside ServiceNow.
Before — The handoffs pile up
Morning: The role moves to another system
The requisition is approved, and the hiring manager sees it in ServiceNow. To review the job description or see candidates, though, they need to open a separate recruiting system they rarely use. Their login has expired, the navigation looks unfamiliar, and before they can weigh in on the role, they have to find their way back into the process.
Midday: Intake becomes a guessing game
A short intake call leaves important questions unresolved. What makes the role urgent? What does “strong communicator” mean for this team? The recruiter follows up by email, and the manager reviews a draft job description that doesn’t quite capture what they meant. Both spend more time clarifying the conversation before the search can move forward.
Afternoon: Feedback loses its next step
A promising candidate comes through, and the manager sends a quick Slack message between meetings: “Like this one. Move fast.” The reaction is clear, but it lives apart from the requisition and the next action. Someone has to find it, connect it to the candidate, and follow through. By the time the team does, the candidate may have moved on.
After — The work stays connected
Morning: Intake captures what matters
With the requisition approved, the manager starts an intake session inside ServiceNow. Phenom Intake Agent asks about the role, the ideal candidate, the team, and what success looks like beyond the requirements on paper. The conversation provides a starting point for a job description and structured interview plan that the team can review and refine.
Midday: Sourcing brings options forward
Once the job description is approved, Phenom Sourcing Agent surfaces potential matches from internal and external talent pools. It groups candidates by possible hiring paths, such as internal mobility, past applicants and external search, and explains the reasoning behind each group in plain language.
The manager can review the options in their ServiceNow workflow and provide feedback while the role is still top of mind. That response becomes part of the sourcing process rather than another note for someone to track down later.
Afternoon: Screening makes feedback usable
For candidates who advance, Phenom Voice Screening Agent conducts screening conversations and returns structured summaries and a recommended shortlist in the manager’s ServiceNow view. Feedback stays connected to the requisition, so the team has a clearer record of what the manager thought and what needs to happen next.
What changes beyond one day
Using Phenom inside ServiceNow means fewer tabs for hiring managers and a clearer starting point for recruiters. Candidate options and screening summaries arrive where managers can review them, and feedback remains attached to the work, making it easier for the team to act on it.
The agents operate within ServiceNow’s AI Control Tower, giving IT, HR operations, and talent acquisition teams oversight of the workflow, including auditability and human-in-the-loop checkpoints. Recruiters can spend less time chasing context and more time on conversations and decisions that need their expertise. Hiring managers can do their part without managing the handoffs or learning a new place to work.
